CHESTERFIELD AND DISTRICT ATHLETICS CLUB

                                                           CONSTITUTION


1.TITLE.
The name of the Club shall be Chesterfield & District Athletics Club.

2.HONORARY LIFE MEMBERSHIP.
The Annual General Meeting is empowered to confer Honorary Life Membership upon past and present members for whom nominations have been received at least 28 days prior to the Meeting.

3.CLUB COLOURS.
The Club colours shall be a royal blue vest with a white and a navy hoop, with a royal blue T shirt with Club name on back as secondary colours.

4.OBJECTIVES.
The objectives of the Club shall be :
a.To encourage the practice and development of amateur athletics.
b.To provide coaching for the members and to organise competition.
c.To organise teams to represent the Club in leagues and championships, and in such other competitions as the Management Committee shall decide.

5.MEMBERSHIP.
Shall be open to persons who are amateurs as defined by UK:Athletics.  There shall be a minimum age entry of 9 years.  Each applicant for membership must complete the official application form, and must be proposed, seconded and elected, or otherwise at a properly convened meeting of the Committee.  Applicants under 15 years of age must have parental support and shall have no vote at Annual General Meetings.

6.MANAGEMENT.
The management of the Club shall be vested in a Management Committee, which shall consist of : President, Chairman, Treasurer, General Secretary and  Membership Secretary, who shall be Officers of the Club, together with a Committee of up to 10 members, who may undertake specific responsibilities as agreed at the first Management Committee meeting after the AGM.  In an emergency the Officers shall have the power to make an administrative decision, but such decision must be reported to the Management Committee at the earliest possible opportunity.

7.AFFILIATIONS.
The Club shall be affiliated to England Athletics in order to carry out the objectives of the Club.  The Club shall affiliate for the three athletics disciplines for which it wishes to cater, and pay the appropriate affiliation fee annually in respect of 

a.Track and Field.
b.Cross-Country Running.
c.Road Running

8.SUBSCRIPTIONS.
Members will pay an annual subscription on April 1st of each year.  The level of fees may only be changed at an Annual General Meeting.  A graduated scale of fees will be operated dependant upon the age and circumstances of members.

9.CLUB DISCIPLINARY PROCEDURES.
In the event of a complaint being received, the Club will follow the procedure laid down in the North of England AA Disciplinary Code dated October 2002.  The full document to become Appendix A of this Constitution.

10.RESIGNATIONS.
A member intending to resign membership must give notice, in writing, to the General Secretary for consideration by the Management Committee.  If the resignation is accepted, membership will terminate on the date that the notice was tendered, or on the day that all outstanding liabilities are discharged, if later.  A member not having tendered a resignation by the end of April in any particular year, may be held liable for that year's subscription.

11.ANNUAL GENERAL MEETING. (AGM)
The AGM shall be held in November each year, on a date to be fixed by the Management Committee.  The AGM shall:
a.Receive and adopt (after any necessary amendments) the Minutes of the previous AGM.
b.Receive and adopt (or not) the Annual Report of the Management Committee.
c.Receive and adopt (or not) the audited annual accounts of the Club.
d.Elect a President, Chair, General Secretary, Treasurer, Membership Secretary and up to 10 members of the Management Committee for the ensuing year, all of whom shall be paid-up members.
e.Consider (and change if so agreed) the annual membership subscription.
f.Elect an auditor for the ensuing year, or instruct the new
g.Management Committee to appoint an auditor.
h.Consider any other business, details of which must have been lodged with the Secretary at least 28days before the meeting and publicised by him/her on the Club's official website at www.chesterfieldac.co.uk. .

All votes taken at the AGM shall be won on a simple majority.  The Chair holds a casting vote.  Only fully paid-up members of 15 years and over on the day of the meeting shall be eligible to vote.








12.EXTRAORDINARY GENERAL MEETING.
An Extraordinary General Meeting must be called by the Secretary within 28 days of receiving written notice of the business to be brought before that meeting, in the form of  a motion signed by 20 fully paid-up members , all of whom must be at least 15 years of age.  This motion shall be the sole business of the Meeting, of which at least 7 days notice must be given to members.  Such a meeting may be called by the Secretary at the instruction of the Management Committee.  Voting at EGMs shall be as for AGMs.

13.ALTERATIONS TO THE CONSTITUTION.
The Club's Constitution cannot be altered except at an Annual General Meeting or an Extraordinary General Meeting.

14.EQUAL OPPORTUNITIES POLICY.
The Club is opposed to all forms of discrimination, whether on the grounds of race, gender, sexuality, religion or disability.
The Club is committed to ensuring that athletics is equally available to all people in  all forms of activity and at all levels.

15.CHILD PROTECTION POLICY.
The Club will endeavour to implement the Child Protection Policy as published by Clubmark.  A Club Welfare Officer will be appointed, but all members should be aware of their responsibilities towards the protection of children and vulnerable adults at all times and in all situations.  Where possible the Club will encourage and pursue courses aimed at Child Protection for all individual members and the Club membership as a whole.

16.DISSOLUTION.
In the event of the Club being dissolved, for whatever reason, all records will be submitted to England Athletics.  Any assets and monies shall be passed to Northern Athletics to be used for the furtherance of the sport, or any other charitable purpose deemed suitable.

This document runs to 8 A4 sides of paper and it is obviously impractical to include it in full in the Club constitution.  However the Club Secretary holds a copy which can
be made available on request by any member..
